Bookkeeper and General Admin (Canada based enquiries only)
IcebergIQ is a leading research firm dedicated to helping software companies learn from their buyers and customers. We are expanding our team and seeking the right person (based in Canada) to fill the role of virtual part-time Finance Administrator (30-40 hours per month).
Applicants should be comfortable in a home office environment and be set up with equipment including at least one external monitor, a good-quality webcam and microphone, and a reliable internet connection. The hours worked will generally fall within regular office hours but some tasks can be completed flexibly outside of that time.
The role will encompass these responsibilities:
Bookkeeping/Finance Role
● Create invoices in Xero based on client contracts and follow up to ensure timely payment
● Manage monthly payables including contractor invoices and supplier invoices
● Keep banking information up to date in Plooto (accounting software)
● Provide accurate, up-to-date information to the accounting team
● Communicate with our bank as needed
● Manage the automated distribution of gift cards to interviewees as part of our client research program
Administrative Tasks (Optional, TBD)
● Update and maintain team information
● Manage the vacation spreadsheet
● Promote best practices for team members such as teaching how to create invoices or how to securely screen-share
Ideal Skills, Abilities, and Experience:
● 3-5 years’ experience in an administrative role (with emphasis on financial responsibilities such as invoicing)
● Familiarity with accounting and other software systems (IcebergIQ uses Xero, Plooto, Dext, Google Suite, Box, Microsoft Office, Tango, and Slack)
● Highly organized with excellent time management skills
● Flexible, adaptable, and deadline-oriented
● Naturally collaborative team player with strong communication skills
● Willing to seek clarity and support as needed within a virtual environment
● Demonstrate tact, good judgement, and a conscientious work ethic
