Reporting to The Continental Overseer
JOB SUMMARY
We are seeking a highly organised and detail-oriented individual to join our team as an Executive Personal Assistant. As a non-profit Christian organisation dedicated to making a positive impact in our community, we are looking for someone who shares our faith, passion, and values.
This role requires a person who thrives in a dynamic workplace and enjoys supporting a senior executive enabling them to focus on their strategic objectives. You will act as a gatekeeper, screening, prioritising communication on behalf of our Europe Continental Overseer, and ensuring all tasks and deadlines are met in a timely manner.
RESPONSIBILITIES:
1. Manage the Continental Overseer’s diary, including arranging and coordinating meetings, appointments, and travel arrangements.
2. Serve as the first point of contact for both internal and external stakeholders, handling inquiries, correspondence, and requests in a professional and timely manner.
3. Prepare and edit documents, presentations, and reports for the executive, ensuring accuracy and consistency.
4. Conduct research, compiling and summarising data to support decision-making and facilitate the executive’s understanding of key issues.
5. Produce comprehensive briefs to support decision making and strategic planning.
6. Coordinate, organise and provide support for various external events; ensuring all logistics are seamlessly executed.
7. Assist in managing the Continental Overseer’s budgets and expense tracking, reconciling invoices and maintaining accurate records.
8. Maintain confidentiality and handle sensitive information with discretion.
9. Develop and maintain effective filing systems, ensuring that all documentation is organised and easily accessible.
10. Coordinate and assist in the planning of office meetings, events and conferences, including logistics, agenda creation, and catering arrangements.
11. Anticipate the Continental Overseer’s needs and proactively provide solutions and assistance to ensure his efficiency and productivity.
12. Discretion and impeccable ethical standards when handling confidential information.
REQUIREMENTS
1. Bachelor’s degree in business administration, communications, or a related field. (Comprehensive training can be provided for the right candidate.)
2. Proven experience working as an executive assistant or in a similar role, preferably in a non-profit organisation or in the management sector.
3. Excellent time management and organisational skills, with the ability to prioritise tasks effectively and meet deadlines.
4. Exceptional written and verbal communication skills, including strong editing and proofreading abilities.
Salary Attractive Hours 35 hours
